Texify.it Privacy Policy

Where a translation is provided, the English version controls to the extent permitted by applicable law.
1. Introduction
This Privacy Policy explains how texify.It Inc. (“Texify.it”, “we”, “us”, or “our”) collects, uses, discloses, and protects personal information in connection with the Service.

2. Scope and roles
- Texify.it may act as a controller (or similar role) for account, website, billing, analytics, marketing, support, and security data.
- Texify.it may act as a processor or service provider when a business customer controls personal information uploaded as Customer Content and instructs us to process it to provide the Service.
- This Policy applies to our websites, applications, and related services. It does not apply to third-party sites or services that we do not control.
3. Categories of information collected
Depending on how you use the Service, we may process:
- Account and profile data (name, email, authentication identifiers, preferences, organization affiliation, account status).
- Customer Content (documents, images, PDFs, spreadsheets, audio, video, URLs, website content, prompts, and related metadata).
- Financial-document data when you upload receipts, invoices, bank statements, or similar materials.
- Website and social URL data you request us to extract or crawl.
- Voice and audio data (uploads, samples, clones, designs, transformed audio, generated speech, audio history, provider voice identifiers).
- Prompts and AI Outputs.
- Connected-service data (for example Google account identifiers and spreadsheet metadata needed for exports you authorize).
- Billing data (plan, invoices, payment method tokens handled by our payment processor, tax-related information displayed at checkout).
- Credit and usage data (balances, reservations, consumption, feature usage).
- Device and analytics data (IP address, device, browser, OS, language, approximate region, timestamps, referring pages, event data).
- Support and communication data (chat content, chat history, CSAT scores, attachments, email correspondence).
- Marketing and referral data (campaign interactions, unsubscribe preferences, affiliate/referral identifiers, promotional codes).
- Job, provider, webhook, and security logs (processing status, errors, authentication events, abuse-prevention signals).
4. Sources of information
- You and your organization users.
- Automatic collection through the Service, cookies, and similar technologies.
- Authentication and payment providers.
- Connected services you authorize.
- Support and communication channels.
- Public or customer-directed URLs and websites you ask us to process.
- Referral or affiliate tools where used.
5. Purposes of processing
- Provide, operate, secure, and support the Service.
- Authenticate users and manage accounts.
- Process Customer Content to deliver requested features and Outputs.
- Bill subscriptions, credits, invoices, and taxes.
- Reserve, finalize, adjust, release, or restore credits.
- Monitor performance, debug errors, and prevent fraud or abuse.
- Provide analytics and product improvement where permitted.
- Send service communications and, where permitted, marketing communications.
- Attribute referrals and promotional codes.
- Comply with law and enforce our Terms.
- Handle rights requests and complaints.
6. Legal bases where applicable
Where required (for example under GDPR/UK GDPR-style laws), we rely on one or more of: performance of a contract; legitimate interests (such as securing and improving the Service, balanced against your rights); consent (for example certain cookies, marketing, or optional processing); and legal obligation.
Where we process Customer Content as a processor for a business customer, that customer’s instructions and legal bases generally govern that processing.
7. AI and automated processing
- AI and automated systems may infer document type, language, layout, fields, classifications, transcripts, translations, and voice characteristics.
- Texify.it does not itself make legally significant eligibility decisions about individuals (such as employment, credit, or housing eligibility) solely by automated means.
- Customer Content is not used to train Texify.it’s own general-purpose AI models unless you expressly opt in to such a program.
- Third-party AI and processing providers may process Customer Content to provide the features you request. We do not state that those providers never use data for their own training unless that is verified in the applicable provider configuration and contract for your traffic.
- You should review Outputs before relying on them.
8. Voice and potentially sensitive/biometric information
- Voice samples, voice clones, voice designs, and related audio may be treated as sensitive or biometric information under some laws.
- Texify.it does not use voice samples for authentication or identity verification unless a future feature clearly discloses that purpose and obtains any required consents.
- You must not submit voice data of others without required rights and consents, including extra care for minors’ voices.
9. Cookies and similar technologies
We and our service providers use cookies, pixels, local storage, and similar technologies. Categories include:
- Strictly necessary (authentication, security, load balancing, consent storage, fraud prevention).
- Preferences (language and UI settings).
- Analytics and performance (understanding feature use and reliability).
- Marketing and customer engagement (where permitted).
- Affiliate/referral attribution.
- Support and embedded services.
- Fraud prevention and abuse-prevention technologies (including CAPTCHA-like challenges where used).
Where required, you can manage non-essential categories through Consent Preferences (available in the website footer). The live Consent Preferences interface may identify active browser-level technologies.
We currently pass limited Do Not Track signals into some marketing page-event handling where implemented. A comprehensive Global Privacy Control (GPC) honor path is not fully verified across all analytics and marketing tools.
10. Service providers and other recipients
We use service providers in categories such as:
- Cloud infrastructure, storage, databases, and queues.
- Authentication and account management.
- OCR, translation, transcription, AI, conversion, and voice processing.
- Payments, subscriptions, invoices, and taxes.
- Analytics, monitoring, and error reporting.
- Email, customer support, and communications.
- Marketing automation, customer engagement, and referrals.
- Security, anti-abuse, file validation, and fraud prevention.
- Website hosting, content management, and blog operation.
Providers may process data only as needed to perform services for us or as otherwise described in this Policy. We may also disclose information to professional advisors, authorities where required by law, or successors in a corporate transaction.
11. User-directed integrations
- If you connect Google or other services (for example to export to Google Sheets), we process data as needed to perform the integration you request.
- Google user data obtained via Google APIs is used in accordance with the Google API Services User Data Policy, including Limited Use. We use such data to provide or improve user-facing features that are prominent in the requesting application, and not for serving advertisements.
- You may revoke access through the provider’s account settings.
12. Organization-managed accounts
If you use the Service through an organization, your administrator may control accounts, access, billing, and certain requests. We may redirect individual privacy requests to the organization when it is the controller of the relevant data.
13. Sale, sharing, targeted advertising, and AI training
- Texify.it does not sell Customer Content.
- We do not sell personal information for money in the ordinary sense of a data sale. Some analytics, affiliate, or advertising-related technologies could be considered “sale” or “sharing” under certain U.S. state laws depending on configuration. Review Consent Preferences and contact us for region-specific requests.
- Customer Content is not used to train Texify.it’s own general-purpose AI models without an express opt-in.
- We do not make unsupported claims that every third-party AI provider is contractually barred from all training uses for all traffic.
14. International processing
Texify.it operates globally and may process information in Canada, the United States, and other countries where we or our providers operate. Those countries may have different data-protection laws than your home country.
Where required, we use appropriate transfer mechanisms offered by our providers or contracts. We do not claim that every transfer uses Standard Contractual Clauses unless that is verified for the specific provider and route.
15. Retention and deletion
- We retain personal information only as long as reasonably necessary for the purposes described, including legal, tax, accounting, security, and dispute-resolution needs.
- Temporary files, object-storage objects, queue payloads, and intermediate processing artifacts are normally deleted after processing or final job attempts, subject to retries, failures, backups, and security holds. We do not promise a single fixed deletion period for all storage layers.
- Multipart uploads may expire or be aborted if incomplete.
- Audio history, saved voices, and similar user-managed artifacts are retained until you delete them or your account is deleted, subject to backups and legal retention.
- Billing, credit ledgers, webhook logs, and security logs may be retained longer as needed for compliance and fraud prevention.
- Marketing suppression records may be retained in minimal form to honor unsubscribe requests.
16. Security
We implement risk-based administrative, technical, and organizational safeguards designed to protect personal information, which may include encryption in transit, access controls, authentication, logging, and network protections. No method of transmission or storage is completely secure.
Application controls such as role-based access and row-level security may be used to isolate customer data; these are implementation measures and not absolute guarantees against all unauthorized access.
17. Security and privacy incidents
If we become aware of a security or privacy incident affecting personal information, we will take appropriate steps to investigate and mitigate, and will notify affected customers or individuals and regulators where required by law. We do not promise a fixed notification period beyond what applicable law requires and what is operationally practicable.
18. Privacy rights and request verification
Depending on your jurisdiction, you may have rights to access, correct, delete, export, restrict, or object to certain processing, to withdraw consent, and to appeal or lodge a complaint with a regulator.
- Submit requests to our privacy contact. We may need to verify your identity before acting.
- Authorized agents may submit requests where permitted by law, subject to verification.
- Organization-controlled data may require the organization’s approval or direct handling.
- We may decline requests that are exempt, excessive, or would infringe others’ rights, as permitted by law.

19. Marketing communications
- We may send service and transactional messages related to your account.
- Marketing emails or product announcements are sent where permitted, including based on consent or other lawful bases.
- You may unsubscribe via message links or by contacting us. We may retain minimal suppression information.
- Optional marketing/logo usage consent collected at signup is separate from Terms acceptance and is unchecked by default.
20. Children and minor voice processing
- The Service is not directed to children under 13 (or higher age required in your region).
- We do not knowingly collect personal information from children under that age.
- Do not upload or clone voices of minors unless you have all required parental/guardian rights and a lawful basis, and the use is permitted.
- If you believe we have collected a child’s information inappropriately, contact us to request deletion.
21. Information about other people
If you submit information about other people (including documents, websites, recordings, or voices), you must have the right to do so and provide any notices required by law. Do not submit others’ sensitive information unless authorized.
22. External services
The Service may link to or integrate third-party services. Their privacy practices are governed by their own policies. Review those policies before enabling integrations or visiting external sites.
23. Changes to the Privacy Policy
We may update this Privacy Policy from time to time. We will post the updated Policy with a revised effective date and provide additional notice where required by law. Where fresh consent is legally required for new processing, we will seek it through appropriate means rather than relying only on continued use.
